General Summary:
Under the general direction of the Executive Director, the Human Resources Administrator is responsible for the daily management and quality assurance for all human resources administration, clerical, and receptionist duties as defined by the following job description. The Human Resources Administrator collaborates closely with the Executive Director to fulfill the HR and Administrative responsibilities. In addition, the Human Resources Administrator works with the rest of the JOURNEYS team to assist with their paid time off (PTO) scheduling, benefits, retirement, and insurance support needs.
Overview:
The Human Resources Administrator is responsible for managing the human resources and administrative needs of the agency. This position is actively involved with hiring and maintaining personnel records for the agency. This position is responsible for the overall management of the insurance and retirement plans for the agency and collaborating with staff to feel fully supported in these areas. The Human Resources Administrator also answers all general information incoming calls to the agency and collects referral data for the Clinical Director. The Human Resources Administrator must plan and implement strategies for program stability and growth and have a positive and supportive attitude toward the agency and its overall success. Finally, the Human Resources Administrator must solve problems creatively and maintain consistently positive relationships with external partners, especially volunteers.

This work is primarily sedentary and requires occasional travel throughout the north and northwest suburbs of Chicago. The work schedule varies depending on the needs and services of the organization. Evening and weekend work may be necessary, depending on agency needs. This position will require exerting up to 20 pounds of force occasionally, and a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.

Essential Requirements:
- Bachelor’s degree in business administration, human resources, non-profit administration, or a complimentary field a plus.
- Five years with human resources and/or administrative functions is necessary.
- A SHRM Certified Professional (SHRM-CP) or a willingness to obtain within the first six months of employment is necessary.
- Ability to thrive in a multicultural community-based organization.

Essential Functions:
HUMAN RESOURCES FUNCTIONS | 70%
- Oversees administrative tasks for searches and staff recruiting.
- Sets up recruitment and training events.
- Oversees agency hiring procedures and onboarding of new staff.
- Coordinates logistics for new hire orientations.
- Maintains employee records and personnel files.
- Maintains staff anniversaries and birthday recognition activities.
- Maintains on-call rotation list and appreciation certificates.
- Maintains Personnel Policies and Procedures Manual.
- Maintains weekend staff schedules and changes.
- Maintains Holiday Coverage schedules and appreciation certificates.
- Creates and distributes time record forms for all staff.
- Interfaces with the agency accountant and ADP for payroll
- Updates employee PTO records.
- Answers any employee benefit inquiries.
- Creates staff handbooks and news blasts.
- Interfaces with the HR Committee of the Board of Directors.
- Other duties as assigned.
ADMINISTRATIVE FUNCTIONS | 30%
- Answers the telephone and provides exceptional customer service to internal and external customers.
- Keeps a log/database of all calls related to obtaining services or needing a referral.
- Drafts monthly call reports for the Clinical Director.
- Oversees the planning and execution of all staff meetings, trainings and gatherings.
- Organizes agency meetings and takes minutes.
- Consults with internal and external units to conduct job tasks.
- Assists managers and supervisors in developing policies and procedures.
- Provides front desk coverage as needed for backup.
- Handles interfacing with agency insurance brokers to obtain renewals and/or going out to bid and assisting staff with their plans.
- Manages insurance renewals and/or going out to bid for new plans on an annual basis.
- Oversees all correspondences with retirement plan administrators and assisting staff with their plans
- Other duties as assigned.
