Position Overview:
Under the general direction of the Executive Director, the Bookkeeper is responsible for the daily management and quality assurance of the financial database, the financial reporting for the agency, and the timely filing of Federal, State and local financial reports. In addition, implement and monitor procedures to communicate, educate and ensure compliance with applicable grant regulations.
The part time Bookkeeper is responsible for the management, quality maintenance and upkeep of the JOURNEYS financial software – Quickbooks for non-profits, financial tracking and record keeping and creating financial reports as directed by the Treasurer and Executive Director. In addition, the bookkeeper may assist with government grant billing.

Desired Qualifications:
- An Associate Degree or Bachelor Degree in accounting, financial management, business or a complimentary field
- Two to three years experience in bookkeeping
- Proficient with QuickBooks for non-profits
- Strong understanding of budgets and accounting standards
- Ability to maintain appropriate boundaries with staff, volunteers and clients in all circumstances
- Good inter-personal skills, ability to relate well with persons from a variety socioeconomic and cultural groups

Key Responsibilities:
Daily Support | 75%
- Provide financial management and fiscal controls for the organization under the supervision of the Executive Director.
- Record and report on all monies due to and held by the organization.
- Ensure that all funds are properly deposited and disbursed in a timely manner.
- Render monthly, quarterly and annual financial reports of the organization to the Treasurer of the Board of Directors.
- Ensure that all Federal, State and local financial reports are filed on a timely basis.
- Participate in the preparation of the annual budget.
- Operate within the JOURNEYS bookkeeping and accounting system.
- Prepare invoices and cash requests.
- Complete the annual Schedule of Expenditures of Federal Awards (SEFA) included in the Annual Financial Audit.
- Prepare required audit work papers for annual, state, federal, local or internal requests.
- Work with the contracted independent CPA to conduct an annual audit.
- Work with the Development Department to reconcile batches, bank statements and deposits
- Train on payroll and medical/dental benefits management to assist HR as needed.
Grant Support | 25%
- Close out grants and file any required financial reports including final expenditure reports with the State.
- Agency-wide grant compliance and reporting, covering both fiscal and programmatic aspects
- formulating agency-wide budget parameters to incorporate government contract terms, including the development and maintenance of an organization-wide cost allocation plan
- Ensures that agency cost allocation plan is incorporated into the monitoring of grants and contracts
- Works with Development and Program to prepare all materials for new and renewed contracts
- Prepares reporting documents to government funders, ensuring the timely submission of all vouchers and related compliance reports
- Supports audit requests by governmental funding agencies
- Responsible for the invoicing and reconciliation processes related to funding drawdowns from external, federal, and state agencies.
- Reconciles and prepares monthly and quarterly financial grant reports in according to generally accepted accounting procedures.
- Prepares and maintains reimbursement expenditure reports for grants and reconciles monthly grant reports to funds received.
- Maintains monthly shared spreadsheets for current and pending federal, state, local, community college, foundation, and private grants.
